  • List of important hidden shortcut keys for Microsoft Word for Mac

    When I started using Micsrosoft Word on the Mac, I needed to work out various shortcut keys. Some shortcuts are obvious, because they are listed in menus, but there are plenty that are not listed. This post outlines the shortcut keys for an assortment of important but not so obvious shortcut keys.

    • Outline View

      • Activate View (I can’t remember whether I customised this)
        • Outline View: Cmd+alt+O
        • Normal View: Cmd+Alt+N
        • Page Layout View: Cmd+Alt+P
      • Change heading type
        • Demote/Promote Heading: Tab / Shift+Tab; Control+Shift+Right/Left
        • Normal Text: Cmd+Control+N
      • Move paragraphs up/down: Control+Shift+Up/Down
      • Expand/Collapse headings:
        • Control+Shift+-/+
        • Control+Shift+1/2/3 to show just headings 1,2,3
        • Control+Shfit+A to show all content
    • Assorted Text Editing

      • Move between words: Alt+Left/Right
      • Move between paragraphs: Cmd+Up/Down or Alt+Up/Down
      • Go to beginning/end of document: Cmd+Home/End or Cmd+Fn+Left/Right
    • Remove formatting: Control+Space

    • Breaks:
      • Column break: Cmd+Shift+Enter
      • New-line without new paragraph: Shift+Enter
      • Section Break: Cmd+Fn+Enter
      • Page break: Fn+Shift+Enter
    • Go back to previous location after following an internal document hyperlink: Alt+Cmd+Left/Right
    • Insert bullets: Cmd + Shift + L
    • Change case of selected text:
      • Command+Shift+A (toggles selection or word between lower and upper case)
      • Change case in menu (e.g., Cmd+Shift+/ then ‘case’ down, enter; or assign a keyboard shortcut) permits more toggling options (e.g., sentence case)
    • Copy and paste formatting: Cmd+Shift+C to copy formatting and Cmd+Shift+V to paste formatting
    • Remove custom paragraph formatting
      • Click or use the shortcut key for the style for the paragraph to re-apply the paragraph style
    • Efficiently changing styles
      • Assign keyboard shortcuts to main styles
      • The style menu (assign a keyboard shortcut or use the help based quick search); it can be navigated by first letter of the style and then the cursor; enter to apply the style.
    • Zoom with the keyboard
      • control+alt+mouse scroll or Control+Cmd+Mouse scroll
      • Assign a custom kebyboard shortcut to View - ViewZoomIn (I chose Cmd+Option+=) and View - ViewZoomOut, I chose Cmd+Option+-).

    • Toggle Split: Alt+Cmd+S
    • Endnote Shortcuts
      • Under Word Tools - Endnote - Cite While You Write Preferences - Keyboard Tab: see the default shortcuts
      • Toggle between Word and Endnote: Control+1
      • Insert select citation(s): Control+2
      • Find Citation: Control+7
      • Edit Citations: Control+6
